The role of the ITFAM is to be able to account fully for the spend on IT services and to be able to attribute these costs to the services delivered across the organisation and to assist management by providing detailed and costed business cases for proposed changes to IT services

The ITFAM will oversee the daily and long-term strategic management of technology-related assets within the organisation.

The individual will assist in budgeting, billing and procurement strategies to optimise technology spend across the organisation.

The ITFAM will also develop and implement procedures for tracking company assets to oversee quality control throughout the assets different life cycles.

Responsibilities

Strategy & Planning
*Establish (or refresh) policies and procedures for tracking the allocation and charge back of IT assets (Hardware, Software, Contract & Resource).
*Develop strategies and relationships to enhance the organisation cost allocation methods for IT services & assets. A primary focus will be to optimised the IT service consumption model.
*Develop strategies and external relationships to implement plans for auctioning, recycling, or otherwise selling obsolete assets.
*Develop, Maintain and Monitor the IT Finance and Asset Management related KPIs.
*Explore opportunities for maximising or exploiting unused or partially used IT assets to achieve full efficiency and ROI from company resources.
*Participate in evaluation of the asset management process.
*Monitor and analyse trends in company spending and inventory control in order to make recommendations for the future, and to identify areas for possible savings.

Acquisition & Deployment
*Develop, conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information.
*Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement.
*Assist IT Director in developing and managing sourcing strategies for the organisation.
*Identify opportunities for volume purchasing to obtain price breaks.
*Investigate equipment or software under consideration to determine ROI and total cost of ownership throughout product life cycle.
*Define purchasing recommendations that support business goals, in collaboration with senior management and stakeholders.
*Assist with negotiate pricing, terms and conditions of sale, and warranties of goods and products with key suppliers and vendors.
*Assist with negotiate pricing, terms, and conditions of contracts with contractors and/or service providers.
*Monitor and analyse trends in company spending and inventory control in order to make recommendations for the future, and to identify areas for possible savings and/or asset optimisation.




Operational Management
*Formulate and implement processes and procedures for tracking and analyzing technical and financial data of company software, hardware, and equipment from requisition through retirement.
*Track and maintain copies of software licenses, warranties, maintenance agreements, and vendor contracts.
*Enter all software and hardware serial numbers or identification tags into configuration management system (CMS) and ensure information is up-to-date, accurate, and auditable.
*Perform inventories and usage monitoring of all IT assets and record all findings, changes, physical location, and incidences of support.
*Research industry best practices and compare against the organisation's practices in order to establish benchmarks for managing IT assets.
*Effectively communicate asset management strategies to team members and stakeholders in a timely and clear fashion.
*Work with IT department to standardise IT assets & services to lower total costs.
*Generate, distribute, and review relevant management reports.
*Investigate and resolve exceptions and accuracy issues of the CMS repository.

Position Requirements

Formal Education & Certification
*Certified Software Management Professional and/or Certified Hardware Asset Management Professional through IBSMA, SIIA, IAITAM, or BSA.

Knowledge & Experience
*3 years direct work experience in a contract management or purchasing and procurement capacity, including all aspects of strategy development and execution.
*Solid working knowledge of software licensing agreements for the following vendors: Microsoft, IBM, Oracle, Adobe, AutoDesk
*Strong familiarity and technical competence with asset management software and/or inventory-tracking systems, such as Microsoft Configuration Manager
*Solid working knowledge of current IT technologies
*Strong knowledge of contract regulations and laws
*Strong knowledge of accounting, finance, marketing, and logistics.
